What a car hauling invoice should include
- Your company: legal name, address, MC and USDOT numbers, phone and email.
- Invoice number and dates: a unique number, the invoice date, payment terms (Due on receipt, Net 15, Net 30) and the due date.
- The load: the broker’s load or order number, pickup and delivery addresses and dates.
- Each vehicle: year, make, model and VIN on its own line, so the broker can match it to their order.
- Extras and deductions: fuel surcharge, extra stops, inoperable or winch fees, and any quick-pay fee or amount already paid (for example COD collected at delivery).
- How to pay you: ACH, check, Zelle or other method, and a note to reference the invoice number.
Send the invoice together with the signed bill of lading, since most brokers will not pay without it. Need a BOL too? Use the free car hauler BOL template. Not sure about cash on delivery? Read COD vs COP in car hauling.
Invoices made from your loads, sent with the BOL
Dispatch Autopilot fills in the invoice from each load, attaches the signed BOL, emails the broker and tracks the day they pay.
