Privacy Policy

Dispatch Autopilot (the website dispatchautopilot.com and the Dispatch Autopilot apps for iPhone and Android) is made by Dispatch Autopilot.com LLC. It helps car-hauling companies manage loads, trips, drivers, inspections, invoices and driver pay. This policy explains what information the service keeps and why.
Information we keep
- Your account: email address, password (stored encrypted by our sign-in provider), your name, company name and team role.
- Business records your company enters: loads, trips, pickup and delivery addresses and business hours, broker and customer contacts, vehicle details such as VINs, trucks, trailers, expenses, invoices, settlements, and files you attach.
- Inspection photos and location: when a driver does a pickup or delivery inspection, the app uses the camera for vehicle photos and records the phone's location at that moment as proof of where the inspection took place. The app collects location only during an inspection, never in the background.
- Support chat: messages you send us through the chat on our website or in the app, with the name and email you give, so we can answer you.
- Billing: your plan and subscription status. Card payments are handled by Stripe; we never see or store your full card number.
- Technical data: basic server logs (such as IP address and time of a request) kept by our hosting provider for security.
How we use it
We use it only to run the service for your company: to show your data to you and your team, plan routes and miles, create and email invoices, bills of lading and statements, and keep your account secure. We do not sell your information, show ads, or use it for advertising or tracking across other apps and websites.
Who can see it
Your company's records are visible only to people your company owner or admins approve, according to their role. Drivers see the loads assigned to them. We share data only with the service providers that run Dispatch Autopilot for us:
- Supabase: database, file storage and sign-in
- Netlify: website hosting and server functions
- Resend: sending the invoice, BOL and statement emails you choose to send
- Stripe: card payments and receipts for subscriptions
- Map services (OpenStreetMap-based Photon and OSRM, the U.S. Census geocoder, and Google Maps when you open a map link): addresses are sent to find map points and driving miles
- NHTSA vPIC: VINs are sent to look up the year, make and model
We may also disclose information if the law requires it.
How long we keep it
We keep your data while your account is active. When you delete your account, it is erased from our live database right away, and from backups within 30 days.
Deleting your account
In the app or on the website, tap your name or email in the menu (or go to Settings > Account) and choose Delete account. A company owner's deletion erases the company and all its records. A team member's deletion erases their sign-in and team membership, and the company keeps the business records they worked on. You can also email us to ask for deletion.
Security
All data travels over encrypted connections (HTTPS). Access to each company's records is limited by database rules and sign-in.
Children
Dispatch Autopilot is a business tool for adults 18 and older and is not intended for anyone under 18.
Changes
If this policy changes, we will update the date at the top of this page.
