Dispatch Autopilot

Terms of Service

Provided by Dispatch Autopilot.com LLC

Effective date: October 29, 2026

These Terms of Service ("Terms") are an agreement between Dispatch Autopilot.com LLC ("Dispatch Autopilot", "we", "us") and the company or person that creates an account ("you"). They cover the website dispatchautopilot.com, the Dispatch Autopilot apps for iPhone and Android, and everything you can do with them (together, the "Service"). By creating an account, starting a free trial or using the Service, you agree to these Terms. If you do not agree, please do not use the Service.

1. Who may use the Service

The Service is a business tool for auto transport carriers, dispatchers and the people who work with them. You must be at least 18 years old and able to enter into a binding contract. If you sign up on behalf of a company, you confirm that you have the authority to accept these Terms for that company, and "you" then means the company.

2. Your account and your team

  • The company owner. The person who creates a company account is its owner. The owner controls the company's subscription, its records and who may join.
  • Team members. Drivers, dispatchers and accounting staff join with your company code, and the owner or an admin approves them. You decide what each role can see and do, and you are responsible for removing people who should no longer have access.
  • Sign-in details. Keep passwords private and do not share one login among several people. Each person should have their own account.
  • Activity on your account. You are responsible for everything done through your company's accounts, including changes made by your team. Tell us right away at admin@dispatchautopilot.com if you think someone has used your account without permission.
  • Accurate information. Give us true and current information when you sign up, and keep your company details, email address and contact information up to date.

3. Free trial

New companies get a free trial of the full Service. The length of the trial is shown on our website when you sign up (currently 15 days). No credit card is needed to start. When the trial ends, your company account becomes view only: everyone can still sign in and look at the records, but nothing can be added or changed until the owner subscribes. Your data stays saved. We may change or end trial offers for future sign-ups at any time.

4. Plans, billing and renewal

  • Prices. The current plans and prices are shown on our website. You can pay monthly or, where offered, yearly at a discount. Prices are per company unless the website says otherwise.
  • Payment. Card payments are processed by Stripe. You type your card details on Stripe’s secure page; we do not see or store your full card number.
  • Automatic renewal. Your subscription renews automatically at the end of each month or year, and your card is charged for the next period, until you cancel.
  • Price changes. If we change the price of your plan, we will tell you at least 30 days in advance. The new price applies from your next renewal after that notice. If you do not agree, you can cancel before the renewal.
  • Taxes. Prices do not include taxes unless we say so. You are responsible for any sales or similar taxes that apply to your purchase.
  • Failed payments. If a payment is declined and is not resolved, your subscription may stop and your account will become view only until a successful payment is made.

5. Canceling and refunds

The company owner can cancel at any time in Settings > Plan & billing. After you cancel, you will not be charged again, and you keep full access until the end of the month or year you have already paid for. After that, the account becomes view only. Payments already made are not refunded, including for partly used periods, unless the law requires otherwise or we agree to a refund in writing.

6. Your data

  • You own your data. The loads, trips, vehicles, contacts, inspections, photos, invoices, settlements, files and other information you or your team put into the Service ("Your Data") belong to you.
  • What you allow us to do. You give us permission to store, copy, process, display and send Your Data only as needed to run, secure, back up and improve the Service for you, for example to calculate miles, create invoices and email documents you choose to send.
  • Your responsibility for what you enter. You confirm that you have the right to enter Your Data, including the personal details of drivers, customers and other people, and that doing so does not break any law or agreement.
  • Backups and deletion. You can download a backup of your records at any time. When an account is deleted, we erase the data as described in our Privacy Policy. We are not responsible for data that you delete yourself.
  • Privacy. Our Privacy Policy explains what we collect and how we use it. It is part of these Terms.

7. Inspections, photos and location

When a driver does a pickup or delivery inspection, the app uses the phone's camera and records the phone's location at that moment, so the inspection report shows where and when it was done. The app collects location only during an inspection, not in the background. As the company, you are responsible for telling your drivers how these features work and for getting any consent that the law requires. Inspection reports, damage marks and signatures are records that you and your drivers create; their accuracy is your responsibility.

8. Rules for using the Service

You and your team agree not to:

  • use the Service for anything illegal, fraudulent or misleading, including fake loads, false bills of lading or invoices, double brokering, or moving a load to another carrier without the shipper's or broker's permission;
  • pretend to be another person or company, or use another company's MC or DOT number without permission;
  • upload anything harmful, such as viruses, or content that you do not have the right to share;
  • try to get into accounts, records or parts of the Service that you are not allowed to access;
  • copy, sell, rent or resell the Service, or give outside parties access to it;
  • take apart, reverse engineer or copy the software, except where the law expressly allows it;
  • use bots or scripts to pull data from the Service, or put an unreasonable load on our systems;
  • harass, threaten or abuse our staff or other users, including in the support chat.

9. Your business is your responsibility

Dispatch Autopilot is software that helps you organize your work. It is not a broker, carrier, shipper, insurer, accountant or legal adviser, and it does not take part in your transport contracts. You are responsible for:

  • your operating authority, insurance, licenses and compliance with FMCSA, DOT and all other transportation rules;
  • your agreements with brokers, shippers, dealers and customers, and for the vehicles in your care;
  • paying your drivers, dispatchers and others correctly. Settlements, pay statements, miles, rates and other figures in the Service are calculated from the information you enter. Check them before you rely on them;
  • your taxes, bookkeeping and records that the law requires you to keep.

10. Services from other companies

The Service connects to services run by other companies, such as map and driving-distance providers, VIN lookup, email delivery, cloud hosting, app stores and the Stripe payment service. Those services have their own terms, and we are not responsible for them. Miles, drive times, addresses and vehicle details from these sources are estimates and may be wrong. Links to other websites are provided for convenience only.

11. Our software and your feedback

We own the Service, including the software, design, logos, text and the name Dispatch Autopilot. While your account is in good standing, we give you a limited, non-exclusive, non-transferable right to use the Service for your own company's business. We keep all rights not given to you in these Terms. Some parts of the Service use open-source software under its own license. If you send us ideas or suggestions, we may use them freely without paying you or owing you anything.

12. Suspension and closing accounts

We may suspend or close an account, or limit what it can do, if we reasonably believe that it breaks these Terms or the law, puts other users or our systems at risk, is used for fraud, or has unpaid charges. Where it is reasonable, we will tell you first and give you a chance to fix the problem. You can delete your account at any time in the app (Settings > Account > Delete account). Sections 6, 9 and 14 to 19 continue to apply after an account is closed.

13. Changes and availability

We work to keep the Service running and secure, but it may sometimes be unavailable because of maintenance, updates, internet problems or events outside our control. We may add, change or remove features. If we remove a major feature that you pay for, we will tell you in advance.

14. No warranties

The Service is provided "as is" and "as available". To the fullest extent the law allows, we make no promises or warranties of any kind, express or implied, including that the Service will be uninterrupted, error-free or fit for a particular purpose, or that any calculation, distance or document will be accurate. Some places do not allow these exclusions, so some of them may not apply to you.

15. Limits on our liability

To the fullest extent the law allows, Dispatch Autopilot and its owners, employees and suppliers will not be liable for any indirect, incidental, special or consequential losses, or for lost profits, revenue, loads, data or business opportunities, arising from or related to the Service, even if we were told they were possible. Our total liability for all claims related to the Service is limited to the amount you paid us for the Service in the 12 months before the event that caused the claim. These limits do not apply where the law does not allow them.

16. Your promise to cover claims

You agree to defend and protect Dispatch Autopilot and its owners and employees from claims, losses and reasonable costs, including legal fees, brought by others that arise from your use of the Service, Your Data, your transport business, or your breaking these Terms or the law.

17. Law and disputes

These Terms are governed by the laws of the State of Illinois, without regard to its conflict-of-law rules. If you have a problem, please contact us first; most issues can be solved quickly, and we will both try in good faith to resolve a dispute for 30 days before starting legal action. Any legal action must be brought in the state or federal courts located in Cook County, Illinois, and both of us agree to those courts' jurisdiction. Either of us may still bring a claim in small claims court if it qualifies.

18. App Store and Google Play

If you download our app from the Apple App Store or Google Play, these Terms are between you and Dispatch Autopilot.com LLC only, not Apple or Google. We, not Apple or Google, are responsible for the app, its support and any claims about it. Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you. You also agree to follow the store's own usage rules. You confirm that you are not located in a country under a U.S. government embargo and are not on any U.S. government list of prohibited or restricted parties.

19. Other legal terms

  • These Terms and our Privacy Policy are the entire agreement between you and us about the Service.
  • If any part of these Terms cannot be enforced, the rest stays in effect.
  • If we do not enforce one of our rights immediately, we have not given it up.
  • You may not transfer your account or these Terms to someone else without our written permission. We may transfer them as part of a merger, sale or reorganization of our business.
  • We may send you notices by email or inside the Service. You can send notices to admin@dispatchautopilot.com.
  • Neither of us is responsible for delays caused by events outside reasonable control, such as power or internet outages, natural disasters or government action.

20. Changes to these Terms

We may update these Terms from time to time. We will change the effective date at the top of this page, and for important changes we will tell you by email or in the app before they take effect. If you keep using the Service after the changes take effect, you accept the updated Terms.
